PURPOSE
The Stock Reconciliation Controller plays a key role within Peppermint’s Stock team, ensuring stock and financial data is accurate across festivals, venues and major live events. This role is responsible for processing stock reports, investigating stock variances, matching supplier invoices to purchase orders and supporting the reconciliation of each event to deadline.
The role helps protect event GP accuracy and provides the financial visibility needed for operational and commercial decision-making. Working alongside suppliers, Finance and onsite stock teams, this role ensures that every event is closed correctly and transparently. It also supports sustainability reporting by gathering stock waste and impact data in partnership with our sustainability consultants, A Greener Future.

CORE ACCOUNTABILITIES
Event Stock Reconciliation
• Process stock reconciliation files for festivals and venues
• Match stock usage, deliveries and returns against sales data
• Work with onsite stock teams to validate opening & closing stock figures
• Ensure all stock documents are complete, accurate and properly filed
• Submit reconciliations to deadline as part of the post-event process
Supplier Invoice & Credit Management
• Match supplier invoices to purchase orders and delivery notes
• Track missing/short stock and request credits from suppliers
• Follow up on outstanding queries until resolved
• Maintain accurate records of supplier correspondence and credit notes
• Work with Finance to ensure supplier accounts are accurate and up to date
Variance Investigation
• Investigate stock discrepancies and unresolved variances
• Identify causes such as delivery errors, stock movement mistakes or data issues
• Flag significant variances to the Reconciliation Manager with explanation
• Help reduce repeated errors through process feedback
• Monitor stock loss patterns and identify high-risk products
Reporting & COGS Accuracy
• Assist in building accurate COGS (Cost of Goods Sold) reports
• Compare EPOS sales vs consumption data
• Ensure GP (Gross Profit) calculations align with stock data
• Support weekly and monthly reconciliation reporting
• Keep clear audit trails for all submitted files
Data & Systems
• Maintain stock reconciliation templates and databases
• Enter and validate stock and invoice data accurately
• Support EPOS data checks and till file imports
• Keep product data and pricing aligned across stock documentation
• Suggest improvements to stock data workflows and trackers
Communication & Coordination
• Provide clear communication to onsite stock teams during recon queries
• Collaborate with Warehouse, Stock Controllers and Finance teams
• Escalate missing data or repeated issues to Reconciliation Manager
• Ensure structured documentation and organised shared filing
Sustainability Tracking
• Gather stock-related sustainability data including:
•Wastage volumes
• Return rates
• Packaging and plastic impact
• Onsite truck and refrigeration usage
• Vehicle miles
• Submit sustainability reports in required format
• Work with A Greener Future on stock-related sustainability reporting
• Support environmental performance tracking across events
Additional Responsibilities
• Assist with operational reporting and stock analysis on request
• Provide internal feedback on recurring supplier or process issues
• Support stock project work and process improvements
• Occasional onsite event support during large festival deliveries
KNOWLEDGE, EXPERIENCE & SKILLS
Essential
• Experience in stock control, finance administration, data analysis or operational coordination
• Strong spreadsheet capability – Excel
• Comfortable with VLOOKUP/XLOOKUP, SUMIF, pivot tables
• Accurate working style with strong attention to detail
• Confident analysing data and identifying inconsistencies
• Comfortable working with numbers and product cost calculations
• Good written and verbal communication
• Highly organised with strong process discipline
• Able to work to deadlines and manage multiple event reports at once
• Confident working independently and taking ownership of tasks
Desirable
• Experience in events, venue operations, hospitality or logistics
• Familiarity with EPOS data and stock reporting
• Understanding of GP, margins and stock variances
• Experience matching purchase orders and invoices
• Knowledge of supplier processes or stock administration
• Experience with inventory software (training provided)
• Interest in sustainability reporting or data measuring impact

BUSINESS SPECIFIC REQUIREMENTS
• London-based or able to commute to Peppermint HQ when required
• Hybrid working: mix of remote and London office-based days

• Flexible during summer season and occasional weekend work if required
• Occasional UK travel to support event closures or training

Summer months are incredibly busy, with the busiest periods between May to September. Many event sites are outdoor events and festivals on weekends.
Travel required to and from events if required. It is expected that you will visit certain events to assist the onsite teams, provide in person training and feedback or evaluate performance, system and process.
Overnight stays may be required but in conversation with yourself.
Evening and weekend availability is expected in the summer months during live events to assist where necessary.
