PURPOSE
The Stock Controller – Festivals & Events plays a key role in delivering Peppermint’s stock operations across some of the UK’s biggest live events. This role is responsible for accurate stock forecasting, ordering, product setup, stock reconciliation and event reporting across a portfolio of major festivals and outdoor projects.
Working as part of the Stock & Procurement team, you will lead the full stock process lifecycle for your assigned events from pre-event planning to post-event GP reporting. You’ll own client relationships, supplier coordination and stock data integrity, ensuring that accurate information flows between suppliers, warehouses, project managers and onsite stock teams. This role protects GP accuracy, stock availability and operational efficiency at scale.

CORE ACCOUNTABILITIES
Event Stock Planning
• Own stock planning for allocated festivals and live event projects
• Build stock ranging using historic data, event profiles, expected footfall and GP targets
• Work with Project Managers to confirm bar layouts, client expectations, sponsorships and product mix
• Produce full site ranging with blended GPs, retails price suggestions with YOY analysis
• Maintain stock trackers with accurate demand forecasting for each event
• Work with clients, agencies and brands on stock costs and any required cost support
Forecasting & Ordering
• Calculate order quantities using forecast logic by product category
• Raise and manage purchase orders with suppliers and wholesalers
• Confirm delivery schedules with suppliers, our warehouse and Ops teams
• Maintain stock availability while reducing over-ordering and wastage
• Ensure SOR (sale or return) agreements are confirmed where required
EPOS Menu & Product Setup
• Build menu copies in collaboration with the Deputy Head of Stock for the Tech team to produce EPOS menus
• Ensure accurate setup of EPOS product files including categories, pricing and cost data
• Maintain menu consistency across event bars and the wider business for accurate and simple reporting
• Upload and manage allergen, ABV and product compliance information
Operational Stock Delivery
• Provide stock documentation and briefing packs for onsite stock teams
• Support stock distribution planning for the onsite teams and with suppliers
• Maintain supplier communication for last-minute order changes and top-ups
• Troubleshoot stock shortages, substitutions and supplier delivery issues
• Support onsite Stock Leads remotely and occasionally onsite when required
Reconciliation & GP Accuracy
• Oversee event stock reconciliation progress and accuracy
• Investigate variances and stock discrepancies with onsite teams
• Work alongside the Reconciliation teams and Finance to close COGS reports to timelines
• Review GP performance by product and category
• Report reconciliation summaries and insights back to the Deputy Head of Stock and PMs
Reporting & Communication
• Produce pre-event GP forecasts and post-event stock reports
• Highlight stock risks, high wastage lines or shortfalls in process
• Collaborate with Data/Insights to enhance internal stock reporting
• Provide clear stock communication across departments
• Overseeing the Recon teams tracking of the departments Carbon for Sustainability reporting
Supplier & Internal Coordination
• Work with preferred suppliers and negotiate stock alternatives if needed
• Support new account setup and pricing alignment
• Work cross-functionally with PMs, Warehouse, Tech, Finance and agencies
• Support branded stock activations and sponsored product requirements
Systems & Process
• Manage stock trackers and documentation standards across events
• Support inventory system implementation and stock process improvement
• Maintain accurate product and pricing data across systems
• Contribute to stock process development and team best practice
Festival Operations Support
• Provide periodic onsite stock support during peak event delivery
• Help manage stock receipt, transfers and stock control setup onsite
• Support system training for onsite stock teams and bar leads
• Represent Stock team onsite when required
KNOWLEDGE, EXPERIENCE & SKILLS
Essential
• Experience in stock control, event operations, bar management or multi-site hospitality
• Strong working knowledge of stock processes: ordering, stocktakes, stock movements and reconciliation
• Highly confident with Excel – lookups, formulas, pivots, data validation
• Strong numerical accuracy and data literacy
• Comfortable managing multiple deadlines across projects
• Experience working with EPOS systems
• Highly organised with excellent attention to detail
• Strong communication skills – able to work with suppliers and onsite teams
• Able to troubleshoot operational stock issues quickly
• Takes ownership and works with accountability and structure
Desirable
• Experience working in festival or live event environments
• Good understanding of drinks GP, yields and stock margins
• Familiarity with using stock management or inventory software
• Knowledge of draught systems and dispense planning (training provided)
• Confidence working with bar menu structures and product categorisation
• Previous experience with supplier account setup or procurement processes
• UK driving licence preferred

BUSINESS SPECIFIC REQUIREMENTS
• London-based or able to commute to Head Office regularly
• Hybrid working (mix of home, Peppermint HQ and occasional onsite support)
• Regular travel required across UK festival sites during the summer season
• Expected to work some evenings, weekends and extended days during live event periods
• Comfortable working in outdoor environments and fast-paced operations
• Right to work in the UK
• Full UK driving licence preferred

Summer months are incredibly busy, with the busiest periods between May to September. Many event sites are outdoor events and festivals on weekends.
Travel required to and from events if required. It is expected that you will visit certain events to assist the onsite teams, provide in person training and feedback or evaluate performance, system and process.
Overnight stays may be required but in conversation with yourself.
Evening and weekend availability is expected in the summer months during live events to assist where necessary.
