WHO ARE WE LOOKING FOR
We’re looking for a highly organised and proactive Staffing Assistant to join our team for the busy summer festival season. Reporting to the Core Team Staffing Manager, you’ll play a key role in ensuring smooth pre-event staffing processes, payroll support, and compliance tracking.

CORE ACCOUNTABILITIES
Key Responsibilities:
• Pre-Event Support: Assist with onboarding new staff, ensuring all staff training is completed to a strict deadline, and communicating key event information/updates.
• Timesheets & Payroll: Support with payroll processing, approve timesheets, and liaise with the payroll team to ensure accuracy.
• Expenses & Sustainability Tracking: Manage pre-event expense claims and assist in tracking sustainability initiatives.
• Training Compliance: Oversee our training platform (Mapal), ensuring all staff meet compliance requirements before starting work at events.
• Rota Management: Assist with building and update rotas on our staff booking systems, Supporting the Core Staffing Manager on ensuring efficient staffing across festivals and events.
• Staff Communication & Booking: Assist with contacting, booking, and confirming staff for various events, supporting the Staffing Manager in peak periods.
• Assist with on-site staffing operations as needed, including ad hoc tasks to support event execution and ensure smooth operational delivery
• Assist the staffing department with Right to Work video calls and the approval of staff accounts to ensure compliance and onboarding efficiency.
• Assist travel arrangements for staff as needed.
• Oversee room allocations to ensure efficient and organised accommodation planning.
• Assist with reconciling invoices, including those from Paprika and crewing agencies, to ensure accurate financial processing.
KNOWLEDGE/ EXPERIENCE/SKILLS
What We’re Looking For:
• Experience in staffing/Recruitment, HR administration, payroll, or event coordination is a plus.
• Strong organisational and time-management skills.
• Excellent communication skills, both written and verbal.
• Ability to work independently while collaborating with a wider team.
• Comfortable using digital platforms for training, timesheets, and scheduling (experience with Mapal or similar software is beneficial).
• A proactive and problem-solving attitude, especially under time-sensitive conditions.
PERSONAL QUALIFICATIONS AND EDUCATION
Preferred Qualifications & Experience:
• Experience in staffing coordination, HR administration, event operations, or payroll support
• Strong organisational and time-management skills with the ability to handle multiple tasks.
• Proficiency in Microsoft Office (Excel, Word, Outlook) and experience using scheduling, payroll, or HR platforms.
• Excellent written and verbal communication skills
• High attention to detail, particularly in handling timesheets, expenses, and compliance tracking.
• Ability to work under pressure in a fast-paced environment (especially during peak festival season).
• A proactive and problem-solving mindset, with the ability to work independently when needed.
Desirable:
• Previous experience in festival staffing, live events, or hospitality
• Knowledge of HR systems, payroll software, or workforce management platforms (e.g., Mapal, Liveforce, Paprika)
• Experience in onboarding, training compliance, or staff engagement

BUSINESS SPECIFIC REQUIREMENTS
Operating Environment & Context:
• Our busiest period runs from April to September. Depending on experience/Successfully chosen for this role as Hybrid of WFH, this role may still require occasional attendance at our London office in Kennington
• You may also be asked to visit festival sites to support staffing and enhance the on-site event experience.
Travel & Other Requirements:
We are seeking a candidate who meets the required skill set. Ideally, the applicant will be London-based to enable hybrid working and provide in-office support on select days. However, for the right candidate, we are open to considering fully remote work if travel to London is not feasible.
