WHO ARE WE LOOKING FOR
The purpose of this role is to plan, budget, build and operate events. You will be the main point of contact for the client, site and event management teams .
With support from the wider Peppermint Head Office team you will have complete commercial ownership of the project from start to finish. You will work closely with all part of the business to deliver each event on time, on budget and meet profit targets and exceed the client’s expectations.
What we’re looking for:
• Minimum of 4 years’ experience of working on greenfield sites or large scale venues
• Excellent knowledge of bar operations in events or festivals
• Extensive experience working with large budgets and commercial decision making
• Willing to live and work onsite at festivals and events both during and outside of regular business hours
• Excellent communicator who is used to managing large teams and having multiple direct reports
• Able to prioritise a varied and sometimes heavy workload with peak periods
• Strong client management experience
• Ability to be Designate Premises Supervisor with familiarity with ELT and Licensing meetings
• Comfortable working on events with multiple bar and food outlets with event revenue above £5m per event and used to managing budgets of £1m per event

CORE ACCOUNTABILITIES
Event Planning & Client Management
• To coordinate and work with all Peppermint departments to plan all aspects of an event
• Support the pitch process alongside the Finance Business Partner to ensure every event is costed up accurately
• Managing the whole of the Project Team (stock, staffing, finance, operations etc.) to ensure the project is delivered on budget, on time
• Prepare any licensing paperwork including applications and AMP’s and attending any relevant meetings
• Reconciling all costs post event with the Finance Business Partner
• Working with the allocated Account Manager be a point of contact for the client
• Managing the client’s deadlines – for example stock ordering or equipment booking
• Communicate any event changes for the FBP to update the event budgets
• Working with the staff team to ensure staff rotas are on or under budget, delivered at the event and reconciled in full post event
• Working with the stock planners to ensure that all stock orders go out on time
• Regularly attending meetings with clients and suppliers
• Work with the Sponsorship manager and stock planners to ensure the event is stock-ranged correctly
• Complete commercial ownership of the event – managing budgets, ensuring profit targets are achieved
• Feedback on pre-and post event budget reports with the FBP to summit to the Directors as per timelines
• Create and maintain comprehensive event plans ensuring all equipment and infrastructure is booked
• Ensuring changes to the Project Plan are communicated to all departments through regular event planning meetings
• Communicating and maintaining timelines and priorities on every project
• To keep fully up-to-date with industry developments & trends
• Ad hoc tasks as the business requires
Operational:
On site at the events
• To act as the primary point of contact and represent the Company on site at events
• Uphold all licensing objectives in accordance with the EMP and AMP – act as DPS if required and liaise with local authorities
• Attendance at ELT or relevant meetings if required
• To coordinate and oversee all site operations (including but not limited to) event logistics, security, staffing management, operations, stock management, event production, & bar/food services.
• Delivering events on time and within budget that exceed expectations
• With support from the Peppermint Event Team manage all subcontractors – from staffing to wet stock suppliers, portacabins to power
• Allocating and delegating tasks to Peppermint staff, managers or relevant sub-contractors.
• Making operational decisions based on changing conditions at the event
• To troubleshoot and problem solve and make clear and definitive decisions
• Maintain a highly professional, highly skilled and motivated event team
• To delegate effectively, follow-up consistently and maintain a culture of respect and accountability within your team
• To effectively manage communication and information flow to Peppermint Senio Management
• Ensure all department processes are followed and maintained and productivity meets company standards
• Ensuring excellent end-user customer service and delivery
• To pro-actively minimise queueing and wait times
• To maintaining positive and productive relationships with all relevant stakeholders ensuring Peppermint’s reputation is upheld
• To act as a single point of contact for prospects and clients when appropriate
• To work with operations teams to manage client expectations and deliver target profit margins including staffing percentages and stock GP
• Ad hoc tasks as the event requires
Other
Will line manage at least one other Project Manager eventually leading to multiple reports
Support the Operations Departmentwith development of the onsite teams and Ops Department
Bring new ideas to the wider teams ensuring excellence across all departments
Comfortable presenting plans and concepts to Senior team
Involved in larger concepts and developing creative F&B areas alongside Production Manager

BUSINESS SPECIFIC REQUIREMENTS
OPERATING ENVIRONMENT /REQUIREMENTS:
• The business is very seasonal. Summer months are incredibly busy, busiest periods between May – September.
• Many event sites are outdoor events and festivals. Expectation of managing multiple events at the same time.
• Substantial travel & working on site for prolonged periods is required during the summer months. As the Project Manager you are often the first to arrive and last to leave Events.

Summer months are incredibly busy, with the busiest periods between May to September. Many event sites are outdoor events and festivals on weekends.
Travel required to and from events if required. It is expected that you will visit certain events to assist the onsite teams, provide in person training and feedback or evaluate performance, system and process.
Overnight stays may be required but in conversation with yourself.
Evening and weekend availability is expected in the summer months during live events to assist where necessary.
