Peppermint Venue Executive

Location: London/Hybrid

Salary: £33,000

 

Who We Are Looking For:

The Venue Executive will play a crucial role in supporting the Venue Project Manager in the planning, execution, and ongoing operations of various venue projects. This role will focus on ensuring effective communication between internal stakeholders and external teams, handling day-to-day operations, managing staff-related processes, and overseeing compliance and documentation. The Venue Executive will help drive the efficiency and consistency of venue operations, ensuring high standards across all projects. 

Working closely with the Venue Project Manager, they will contribute to the successful mobilization and demobilization of venue projects, maintain operational processes, and ensure all systems and personnel are in place for smooth operations. The Venue Executive will also provide on-site support during events, assisting with delivering operational requirements to ensure the smooth running of the venue, including managing staff, troubleshooting issues, and ensuring that all logistical elements are executed to plan. Flexibility is key, as the role may involve travel and working outside standard hours, including evenings and weekends.

Peppermint provides high-performance bar and event solutions to the world’s best entertainment businesses and consumer brands. Our core business is operating festival & event bars, brand activation and conjoined retail-led F&B solutions to the UK’s best festivals and outdoor events.

The recent partnership with Levy (Compass UK) has led our established business into new sectors within sports and stadium arenas across the UK, Ireland and Europe. These world class venues include the o2 arena, Wembley arena, Aviva Stadium and Johan Crujff stadium in Amsterdam. 

We also manage seasonal venues across the UK such as Freight Island in Manchester, Dreamland in Margate and Between the Bridges in London. 

 

CORE ACCOUNTABILITIES:

Liaison and Project Support: 

  • Work closely with the Venue Area Manager and Venue Project Manager to mobilize new and upcoming projects. 
  • Support the demobilization and remobilization of existing projects and venues, ensuring smooth transitions.  

 

Operational Processes and Compliance: 

  • Develop, monitor, and refine venue processes and standard operating procedures (SOPs) related to staffing, finance, reporting, and compliance. 
  • Ensure accurate communication across project teams and stakeholders, sharing necessary information and progressing actions in a timely manner.  

 

Systems Management: 

  • Follow internal development processes and ensure all relevant systems are up to date with accurate information. 

 

Problem Solving and Collaboration: 

  • Collaborate with project teams to identify and resolve issues that arise during venue operations. 

 

Staff Management and Recruitment: 

  • Develop new starter packs and provide induction training for Venue General Managers (GMs). 
  • Lead recruitment for new venues and provide recruitment support for existing venue GMs when needed. 
  • Act as the main point of contact for recruitment agencies as required. 

 

Budget and Payroll Management: 

  • Manage budgets related to staffing, recruitment, and training. 
  • Oversee onboarding, Right to Work compliance, and payroll processes, offering support when necessary. 

 

Staff Onboarding, Training, and Compliance: 

  • Implement and manage training programs, maintaining accurate training records. 
  • Ensure staff adhere to all employment laws and data protection guidelines. 

 

Documentation and Administrative Support: 

  • Prepare essential onsite documentation, such as timesheets, staff handbooks, briefing notes, and rotas. 
  • Assist with finance reconciliation tasks, including managing purchase orders (POs), credit card receipts, and staff expenses. 
  • Manage general administration, including booking travel and accommodation for staff and teams as required. 
  • Support with expense reconciliation, ensuring adherence to company policies and timelines. 

 

Event and Staffing Support: 

  • Provide additional onsite support at venues or events as needed. 
  • Assist with setting up staffing platforms for each new venue. 

 

Knowledge & Experience:

ESSENTIAL: 

  • Minimum 2-3 years of experience in a support role within the events or hospitality industry, with involvement in the execution of large-scale projects. 
  • Team Support Skills: Strong skills in supporting leadership and team management functions, with experience assisting in recruiting, training, and onboarding staff. 
  • Organizational Skills: Exceptional organizational skills, with the ability to handle multiple tasks simultaneously and support various aspects of venue operations. 
  • Communication Skills: Excellent verbal and written communication skills, with the ability to liaise effectively with internal teams, stakeholders, and external partners. 
  • Budget Support: Experience in supporting budget management, particularly in areas related to staffing, recruitment, and training costs. 
  • Technology Familiarity: Basic understanding of digital and operational technologies, with experience in using staffing and operational management systems. 
  • Collaboration: Demonstrated ability to collaborate effectively with multiple departments, including recruitment and operations, to ensure venue readiness. 
  • Problem-Solving: Strong problem-solving skills, with a proactive approach to resolving operational and staffing issues efficiently.

Business Specific Requirements

Operating Environment & Context

The business is very seasonal. Summer months are incredibly busy, with the busiest periods between May to September, and the month December. Many event sites are outdoor events and festivals on weekends.

Travel & Other Requirements

Travel required to and from events if required during the summer months. It is expected that you will visit certain events to assist the onsite teams, provide in person training and feedback or evaluate performance, system and process.

Overnight stays may be required but in conversation with yourself.
Evening and weekend availability is expected in the summer months during live events to assist where necessary. This can be remote. Overtime is paid.
