WHO ARE WE LOOKING FOR

We’re looking for someone to own the planning, budget and delivery of partnership bars. You’ll be the single point of contact for the event team and the brand partner, working closely with the Head of Stock & relevant Project Manager to run delivery end-to-end from spec and costing to on-site service and sign-off. The role is London based, working within the head office 3 days a week & onsite during the Summer months.
You’re practical and detail-driven. You can set and track budgets and recharges, lock partner bar and menu specs (including recipes &serve sizes), work with partners on creation of bar assets & artwork signoff, and turn it all into clear briefing packs for bar managers and on-site teams.
You keep timelines and approvals moving, and on site you will work with the Event Management team to ensure partnership bars are delivering excellent service and any issues are resolved quickly. You’re comfortable coordinating with multiple teams including stock, operations, event management, tech/EPOS, design/brand, finance, warehouse & logistics, production and staffing, as well as client and partner teams, to keep delivery aligned and on time.

CORE ACCOUNTABILITIES

Planning (pre-event)

• Plan & budget ownership: Build and track the partnership bar plan and budget with the Head of Stock & relevant PM; manage recharges; route scope/cost changes for PM/HoS approval.
• Activation operations & assets: Work with brand partners to design and deliver activations that are fully bar-ready and operationally robust. Ensure layouts provide adequate serving space, back-of-house storage, refrigeration, shelter, power/water/waste, and the right bar kit; sign off the service-scape and workflows for speed of service, staff efficiency, stock security and H&S compliance. Drink specs & recipes: Own the end-to-end definition and early sign-off of partner drink specs. Lock FOH/BOH kit, pour sizes, glassware/cups and prep methods; run tastings to confirm feasibility, availability and cost; align pricing/GP; and finalise EPOS setup (PLUs, categories, modifiers, ABV/allergen tags) before go-live.
• Menu creation: Support on the creation of partner menus (pricing, naming, allergen/ABV info, board layouts), coordinate artwork sign-off, and ensure accuracy across printed/digital assets.
• Briefing packs & brand filtering: Lead the collation of briefing packs (contacts, specs, service standards, run-sheets) and translate brand briefs into clear guidance and talking points for bar managers and staff.
• Partners’ orders (full ownership): Own partners’ orders end-to-end—including cups, stock and staffing and ensure details are confirmed and clearly communicated to partners and clients.
• Staffing allocation: Work with the Staffing team to place the right skill sets on partner bars (e.g., cocktail-experienced bartenders, brand ambassadors, lead cashiers); confirm headcount, shift patterns and brief-ins.
• Meetings & approvals: Attend all partnership delivery meetings, circulate actions, hold timelines, and escalate approvals to the PM/Head of Stock before committing spend.
• Attention to detail: Maintain clean, version-controlled spec sheets, menus and budget trackers.
• Client updates: Keep clients and partners regularly updated with concise, factual comms and next steps.

 

On-site (delivery)

• Primary contact & service: Work with the Event Management team to ensure partnership bars are delivering excellent service; verify installs/signage/menus match the agreed spec and resolve issues quickly.
• Operational checks: Monitor staffing levels with bar managers, licensing compliance, uniforms and branding and EPOS/menu accuracy throughout show days.
• Cross-team coordination: Keep stock, ops, tech/EPOS, design/brand, finance, logistics and staffing aligned on on-the-day deliverables.
• Problem solving issues, tracking sampling campaign to comply with AMPs and recharges.
• During-show reviews: Lead mid-show check-ins (for multi-weekend runs) with brand, promoter and Peppermint; review sales/GP, SPH/queues, stock and brand experience; agree and log quick fixes for the next trading day.

 

Post-event (reporting & wrap-up)

• Volumes & sales: Collate partner volumes (SKU/category/brand mix) and share concise insights for debrief.
• Full budget reconciliation: Reconcile costs vs. budget, confirm partner recharges, and issue pre/post-event budget reports to Finance/Directors per timelines.
• Feedback documentation: Capture client/partner feedback and bar-manager notes; roll improvements into next-show specs and briefing templates.

 

KNOWLEDGE/ EXPERIENCE/SKILLS

Essential

• Experience delivering brand/partner activations at festivals or large events (on-site, evenings/weekends in season).
• Proven budget management: build, track, reconcile; manage partner recharges and POs/IOs.
• Spec writing for bars (layout, kit, signage, pour sizes, glassware/cups) and locking final menus/recipes.
• Strong client/partner management and clear, regular updates.
• Comfortable with data: volumes/sales pull-through, simple analysis and post-event reporting.
• High attention to detail
• Solid Excel/Google Sheets skills (formulas, lookups, basic pivots); tidy file management.
• Calm under pressure; solves issues quickly on site.

Desirable

• EPOS experience (e.g., building menus, category mapping, simple reporting).
• Cocktail/bar programme knowledge (yields, ABV, allergens, serve standards).
• Understanding of sponsorship rights delivery (exclusivity, POS placement, brand guidelines).
• Familiarity with H&S/licensing in festival environments (e.g., Challenge 25, concessions rules).
• Basic design literacy for mark-ups/asset checks (comfortable reviewing artwork and signage proofs).
• UK travel as needed; full driving licence useful but not essential.
• Mixology experience

 

PERSONAL QUALIFICATIONS AND EDUCATION

Essential

• Proficient in Microsoft Office (Excel, PowerPoint, Word) and Google Workspace; confident with formulas/lookups and basic pivots in Excel/Sheets.
• Strong written English and numeracy; able to produce clear briefing documents and budget reports.
• Comfortable with shared drives and version control (SharePoint/Drive) and comms tools (Teams/Slack).
• Able to work evenings/weekends during the summer event season and travel to UK festival sites.
• London-based or commutable to head office at least 3 days per week.
• Eligible to work in the UK.

Desirable

• Full UK driving licence.
• Personal Licence holder (Licensing Act 2003).
• Cocktail experience (classic specs, batching, yields).
• Degree or formal qualification in Events Management, Hospitality, Marketing or a related field.

Operating Environment & Context

Summer months are incredibly busy, with the busiest periods between May to September. Many event sites are outdoor events and festivals on weekends.

Travel & Other Requirements

Travel required to and from events if required. It is expected that you will visit certain events to assist the onsite teams, provide in person training and feedback or evaluate performance, system and process.

Overnight stays may be required but in conversation with yourself.

Evening and weekend availability is expected in the summer months during live events to assist where necessary.
