Onsite Stock Manager- Summer Festivals 2026

Job Description

The Senior Onsite Stock Operations & Data Manager is a pivotal operational & financial role, and are often the first to arrive onsite and the last to leave. The main purpose of the role is to ensure that all stock is received, counted and distributed safely & efficiently to various bars around site, while also capturing vital information regarding onsite stock levels and revenue. They are responsible for ensuring no product lines run out, and sourcing stock where needed. They will liaise with sponsors, clients and the senior Peppermint team with data and figures. They are also repsonsable for ensuring all returns are recorded correctly and to supplier specifications. No matter the size of the show the security of our stock is of the upmost important throughout build, show days & de rig. The key to the success in this role is the ability to have an overview of all stock activities for the event at all times.

Due to the nature of the work, potential candidates must have great physical stamina, great time-keeping skills, a ‘can-do attitude’ and the ability to work under pressure. The hours can be demanding, with a mixture of shift patterns. There are pinnacles working at all hours of the day and night, each day has a new set of challenges to be met.

 

Pre Event & Build Duties & Responsibilities

  • – Review and analyse pre-event information with the Head Office Stock Team
  • – Create build plans as needed utilising systems such as Asana
  • – Responsible for all onsite stock
  • – Oversee the arrival of all stock deliveries on site as laid out in the SOP
  • – Perform the siting and securing of lorries remaining on site
  • – Enter all stock delivery notes into the specified system and file securely
  • – Identify any shortages and liaise with suppliers to ensure every event starts with required stock levels
  • – Set up onsite stock taking sheets
  • – Manage and record the distribution of stock to the correct location, utilising forklifts, vechicles & runners as needed
  • – Working with and adhering to Peppermint Policies including H&S Policy, vehicle policies, expenses, staff conduct etc.
  • – Complete feedback regarding staff performance
  • – Communicate requirements with the Event/Build Manager for vehicles, plant, BOH access etc. to ensure a smooth build
  • – Liaise with the event organisers and artist liaison teams to record and transfer stock required

 

Show Days Duties & Responsibilities

  • – Monitor stock levels on site using information provided by EPOS and the onsite stock takes
  • – Analyse the end of night stock take paperwork to assess what bar to bar transfers are needed and projecting any overall site-wide stock shortfalls
  • – Liaise with suppliers during the show to convey emergency deliveries
  • – Work with the Project Manager to make decision on key lines & possible shortfalls
  • – Provide day by day event stock commentary to aid with office reconciliation
  • – Ensure all staff have signed in/out, all radios have signed in/out, vehicle checks completed, and H&S/PPE are complete
  • – Attend regular meetings with the senior team to provide updates and receive the relevant information
  • – Attend the bar manager briefings and contribute as necessary
  • – Manage bar opening and closing procedures through efficient communication with bar/cellar managers & runners
  • – Ensure that correct bar operations are being adhered to eg. correct glassware, correct serve requirements, correct stock lines
  • – Assist the cellar/bar manager/bar backs with best practices for the smooth operation of the bar and cellar
  • – Be a key point of contact for the cellar managers
  • – Ensure that without fail, all paperwork is secure and entered into the specified system

 

De Rig Duties & Responsibilities

  • – Liaise with the Onsite Stock Data Manager/Project Manager/Event Manager/Build Manager to create a de rig plan based on the collection schedule, cellar plan, crew size, vehicle & plant requirements, and BOH access
  • – Manage the derig process, stock team and delegate tasks as necessary
  • – Liaise with suppliers on any collection issues
  • – Ensure all direct suppliers returns are counted and ready for collection
  • – Main supplier returns to be counted and prepared as per SOP and the paperwork returned to the stock data manager
  • – Ensure the safe & timely departure of all fridge trucks
  • – Ensure that all wastage, broken stock & damaged stock is accurately recorded
  • – Notifying the Project/ Operations manager of any damages/ losses/ incidents during the shows and the reason for them
  • – Complete a full site walk round to ensure no Peppermint stock has been left behind
  • – Ensure all paperwork is securely returned to Head Office
  • – Complete post-event handover with Head Office Stock Team

Knowledge/Experience/Skills & Characteristics

Demonstrable experience in and aptitude for:

  • – Comfortable with MS Office programs and data analysis and manipulation
  • – Ability to understand data and develop into an operational plan
  • – Excellent operational and communication skills
  • – Excellent analytical skills
  • – Able to delegate whilst maintaining an all-round overview of the team
  • – Ability to communicate relevant information to numerous departments
  • – Ability to adapt communication style to suit recipient (eg, supplier, organiser, sponsors, clients)
  • – Stock management, including stock taking
  • – Event management, including festival/large scale public events
  • – Working and staying calm under pressure
  • – Excellent eye for detail and willing to get stuck in
  • – Willing to live and work onsite at festivals and events both during and outside regular working hours
  • – Full clean driving license
  • – Telehandler license

Additional Information

  • – Full training will be given prior to the commencement of festival season of Peppermint processes, procedures and systems
  • – All Onsite Stock Managers will be provided with the relevant equipment needed
  • – Vocational training courses can be provided by Peppermint – e.g. Forklift license

 

Working Environment

Peppermint Events is a seasonal business, with peak demand between June and September. This role involves long days, working outdoors in varied weather conditions, and flexible schedules across build days, show days, and breakdown.

If you have not heard from us within 14 days, please assume you have not been selected on this occasion. All interviews will be conducted via Microsoft Teams, and video will be required.

If successful, event bookings typically begin from late April to early May, depending on event schedules. However as you are in a manager position, we can provide you with a calendar in Feb/March showing the events and dates we would like you to join us for this summer.

Business Specific Requirements

Operating Environment & Context

The business is very seasonal. Summer months are incredibly busy, with the busiest periods between May to September, and the month December. Many event sites are outdoor events and festivals on weekends.

Travel & Other Requirements

Travel required to and from events if required during the summer months. It is expected that you will visit certain events to assist the onsite teams, provide in person training and feedback or evaluate performance, system and process.

Overnight stays may be required but in conversation with yourself.
Evening and weekend availability is expected in the summer months during live events to assist where necessary. This can be remote. Overtime is paid.
