Onsite Staffing Manager (Seasonal)

Role Overview

As an Onsite Staffing Manager, you’ll take ownership of all staffing operations during live events, acting as the key link between agencies, bar management, event management, and Head Office. You’ll ensure the right people are in the right place at the right time, while maintaining accurate records, supporting staff welfare, and keeping staffing data clean and compliant.

This is a high-responsibility, fast-paced role that requires excellent organisation, confident communication, and the ability to stay calm under pressure. You’ll be the go-to person for staffing queries onsite and play a critical role in ensuring events run smoothly from a people perspective.

 

Key Responsibilities

Pre-Event & Build Period

  • – Prepare the onsite staffing setup in line with the Staffing Manager Guide (which will be provided)
  • – Confirm accreditation, wristbands, uniforms, and PPE are ready for show days
  • – Coordinate with agencies and the Project Manager on staffing requirements and schedules
  • – Ensure QR sign-in systems, count sheets, and staffing paperwork are set up correctly
  • – Support bar managers with access to iPads and required documentation

 

Show Day Operations

  • – Attend morning briefings and ensure Bar Managers receive keys, radios, and iPads
  • – Track live staffing numbers across all waves using countsheets and digital tools
  • – Monitor arrivals, no-shows, late staff, and cover requirements
  • – Communicate staffing changes clearly with Event Managers, agencies, and Head Office
  • – Manage staff movements, redeployments, and cuts as required
  • – Oversee QR code sign-in/out compliance and resolve attendance issues
  • – Distribute and track staff food, meal vouchers, and packed lunches
  • – Act as first point of contact for staffing-related incidents, welfare concerns, or disputes
  • – Ensure all incidents are logged and escalated correctly in line with guidance

 

Post-Event & Breakdown

  • – Collect and return bar manager iPads, radios, uniforms, and staffing equipment
  • – Complete final staffing counts and submit reports to the staffing team
  • – Ensure all timesheets and attendance records are accurate and completed on time
  • – Support campsite and crew area clear-downs where required
  • – Coordinate trader payments for onsite food as and when required and ensure all staffing paperwork is returned to Head Office

 

Staffing Administration & Compliance

  • – Maintain accurate staffing records across agencies and internal teams
  • – Review daily agency staffing reports and reconcile against onsite counts
  • – Submit required reports and documentation within agreed deadlines
  • – Ensure licensing, paperwork, and staffing compliance standards are upheld
  • – Support access to next-of-kin information and incident reporting when required
  • – Gather live onsite feedback on staff performance & progression opportunities

 

Skills, Knowledge & Experience

Essential

  • – Proven experience managing staffing or operations in live events or festivals
  • – Strong organisational and time management skills
  • – Confidence working with staffing data, countsheets, and digital systems
  • – Excellent communication skills
  • – Calm, decisive approach in high-pressure environments
  • – Ability to work independently while collaborating closely with onsite teams

 

Desirable

  • – Previous experience working with staffing agencies
  • – Familiarity with QR attendance systems and live staffing reports
  • – Full driving licence

 

Working Environment

Peppermint Events is a seasonal business, with peak demand between June and September. This role involves long days, working outdoors in varied weather conditions, and flexible schedules across build days, show days, and breakdown.

Recruitment & Interview Process

Interviews will take place between January and March. If you are successful in being selected for an interview, you will be contacted directly. If you have not heard from us within 14 days, please assume you have not been selected on this occasion. All interviews will be conducted via Microsoft Teams, and video will be required.

If successful, event bookings typically begin from late April to early May, depending on event schedules. Shifts are usually allocated around six weeks before each event goes live, and availability will be confirmed at that stage.

Business Specific Requirements

Operating Environment & Context

The business is very seasonal. Summer months are incredibly busy, with the busiest periods between May to September, and the month December. Many event sites are outdoor events and festivals on weekends.

Travel & Other Requirements

Travel required to and from events if required during the summer months. It is expected that you will visit certain events to assist the onsite teams, provide in person training and feedback or evaluate performance, system and process.

Overnight stays may be required but in conversation with yourself.
Evening and weekend availability is expected in the summer months during live events to assist where necessary. This can be remote. Overtime is paid.
