Office Assistant Manager (Seasonal)

Role Overview

As an Office Assistant Manager, you’ll play a central role in ensuring the smooth setup, operation, and close-down of the onsite Production Office during festivals and live events. You’ll be the organisational backbone of the event office, supporting Project and Event Managers by keeping information, paperwork, and processes running efficiently.

This role suits a proactive, highly organised individual who is confident managing multiple priorities in a fast-paced, live event environment. Strong communication, attention to detail, and the ability to work calmly under pressure are essential.

 

Core Responsibilities

  • – Lead the setup, day-to-day operation, and close-down of the onsite Production Office
  • – Manage administrative processes, including signing keys, radios, and vehicles in and out
  • – Receive deliveries from suppliers and ensure items are logged and distributed correctly
  • – Confirm delivery and collection schedules with suppliers on behalf of the Project Manager
  • – Act as the first point of contact for initial and relevant external enquiries
  • – Record, confirm, and submit core crew hours to the payroll team
  • – Provide proactive support with event accounts, including expenses, purchase orders, and petty cash
  • – Support Event and Project Managers with printing, signage, and documentation needs
  • – Ensure all paperwork is returned to Head Office daily and distributed to the correct departments
  • – Coordinate trader payments based on signed approvals
  • – Order, distribute, and record crew catering, meal vouchers, and packed lunches
  • – Liaise with local food banks and soup kitchens to arrange collection or delivery of surplus food
  • – Carry out ad hoc administrative and coordination tasks to support the Project and Event Management teams

Skills, Knowledge & Experience

Essential

  • – Proven organisational and administrative experience
  • – Strong IT skills, including Microsoft Outlook, Word, and Excel
  • – Excellent written communication skills with strong attention to detail
  • – Clear, confident verbal communication skills
  • – Ability to use initiative and solve problems proactively
  • – Confidence working independently as well as collaboratively within a team

Working Environment

Peppermint Events is a seasonal business, with peak demand between June and September. This role involves working onsite at festivals and events, often outdoors, with flexible hours aligned to event schedules.

Camping is available at some events. If camping, you’ll need to bring your own tent and equipment.

Recruitment & Interview Process

Interviews will take place between January and March. If you are successful in being selected for an interview, you will be contacted directly. If you have not heard from us within 14 days, please assume you have not been selected on this occasion. All interviews will be conducted via Microsoft Teams, and video will be required.

If successful, event bookings typically begin from late April to early May, depending on event schedules. Shifts are usually allocated around six weeks before each event goes live, and availability will be confirmed at that stage.

Business Specific Requirements

Operating Environment & Context

The business is very seasonal. Summer months are incredibly busy, with the busiest periods between May to September, and the month December. Many event sites are outdoor events and festivals on weekends.

Travel & Other Requirements

Travel required to and from events if required during the summer months. It is expected that you will visit certain events to assist the onsite teams, provide in person training and feedback or evaluate performance, system and process.

Overnight stays may be required but in conversation with yourself.
Evening and weekend availability is expected in the summer months during live events to assist where necessary. This can be remote. Overtime is paid.
