Events EPOS Operations Manager

Location: London/Hybrid

Salary: £37,500 – £40,000 DOE P/A

 

Who We Are Looking For:

We’re looking for an organized and tech-savvy EPOS Operations Manager to join our team and help ensure the smooth running of our EPOS systems and event technology. You don’t need to have done this exact role before, but a strong background in events and a solid understanding of technology are essential. If you enjoy problem-solving, have a keen eye for detail, and are comfortable working with tech, this could be the perfect role for you. 

You’ll be responsible for managing the setup, maintenance, and operation of EPOS systems across both internal and external events. This includes coordinating with external suppliers and ensuring that our technology infrastructure, such as internet provisions, is in place and ready to support our teams on-site. Your focus will be on making sure everything runs smoothly behind the scenes, particularly when it comes to till operations. 

This role offers the opportunity to work closely with various teams across Peppermint, including data, stock, and finance, to ensure that our EPOS systems integrate seamlessly into the wider event operations. You’ll also support the digitalization of key processes, helping us to streamline our workflows and improve efficiency at events.

Who We Are:

Peppermint provides high-performance bar and event solutions to the world’s best entertainment businesses and consumer brands. Our core business is operating festival & event bars, brand activation and conjoined retail-led F&B solutions to the UK’s best festivals and outdoor events.

The recent partnership with Levy (Compass UK) has led our established business into new sectors within sports and stadium arenas across the UK, Ireland and Europe. These world class venues include the o2 arena, Wembley arena, Aviva Stadium and Johan Crujff stadium in Amsterdam. 

We also manage seasonal venues across the UK such as Freight Island in Manchester, Dreamland in Margate and Between the Bridges in London. 

 

CORE ACCOUNTABILITIES:

EPOS System Management 

  • Oversee the setup, maintenance, and operation of EPOS systems across all events & venues, including the management of the current till fleet. 
  • Ensure smooth running of EPOS systems for both internal use (Peppermint-run events) and external clients, managing till configurations and operational settings. 
  • Manage all external till hire requests and ensure they meet operational standards. 
  • Oversee the yearly till tender process, working with external vendors to secure the best solutions for Peppermint. 

 

IT Infrastructure Management 

  • Source and manage IT suppliers to provide internet and other essential technical services for events. 
  • Coordinate with external suppliers to ensure the setup and maintenance of internet provisions and network systems are in place before events. 
  • Oversee asset tracking of technical equipment, ensuring all systems are properly documented and maintained. 

 

Team Leadership 

  • Line manage the Data & Systems Manager, ensuring they are supported in their role and deadlines are met. 
  • Manage on-the-ground planning for event staff, including creating rotas and ensuring sufficient coverage for technical operations during events. 
  • Support staff development by providing relevant training on EPOS systems and technical processes. 
  • Oversee the management of back-office and security rotas for events, ensuring that technical operations are fully supported on site. 

 

Back-Office Operations 

  • Oversee the setup and management of back-office technology, including security systems, ensuring smooth functionality at events. 
  • Work closely with project managers to ensure all technical back-office requirements are fulfilled. 
  • Collaborate with staffing and project teams to ensure technical staff are allocated effectively for events. 
  • Act as the lead manager for back-office technical operations at events, ensuring all aspects are smoothly coordinated. 

 

Project Management 

  • Oversee EPOS-related projects, including system upgrades, testing of new technology, and implementation of frictionless payment methods. 
  • Source external specialists for larger, complex projects such as bespoke dashboards, reporting tools, and spreadsheet development. 
  • Liaise with external vendors and service providers for system enhancements and troubleshooting as needed. 
  • Oversight of External Specialists – manage and oversee external specialists or consultants brought in for bespoke projects, ensuring they deliver on-time and to specification. 
  • Project Management of Freelancers: Coordinate with freelance developers, data managers, and consultants on custom projects such as stock management tools, reporting dashboards, and API integrations. 

 

Operational Support 

  • Provide on-site support at events to ensure the EPOS systems and IT infrastructure are functioning effectively, and troubleshoot issues as they arise. 
  • Work closely with event teams and other departments (stock, finance, staffing) to ensure EPOS and IT systems align with overall event operations. 
  • Collaborate with the Head of Stock to streamline stock processes and ensure integration with EPOS systems. 
  • Work with all departments in the digitalization of documentation, ensuring company processes become more streamlined and accessible. 

 

Reporting & Analysis 

  • Collaborate with the Data & Systems Manager to ensure timely and accurate event reporting, including sales data, GP tracking, and transaction anomalies. 
  • Develop and maintain dashboards and reporting tools, including live GP monitoring, real-time reporting for clients, and facilitating year-on-year event tracking. 
  • Monitor EPOS system performance and generate reports for internal stakeholders, ensuring visibility into financial and operational metrics. 
  • Review end-of-day reports and ensure all data is accurately captured and distributed to relevant teams. 

 

System Development & Improvements 

  • Proactively identify areas for system improvement and work with external vendors to implement upgrades or enhancements. 
  • Ensure that EPOS and IT systems evolve with the business, maintaining up-to-date functionality, security, and performance. 
  • Research new technologies and make recommendations for future investments to improve EPOS and IT infrastructure. 

 

Business Development 

  • Drive new business opportunities related to external till hires, ensuring the growth and profitability of this offering. 
  • Maintain the technology budget and provide accurate financial reporting to the Finance Director. 
  • Present recommendations to the board with business cases for new technology investments or supplier changes. 
  • Budget and Timeline Management for Freelance Work. Oversee the budget, scope, and timeline for projects handled by external specialists, ensuring alignment with company goals. 

 

Knowledge & Experience:

ESSENTIAL: 

  • Strong experience in EPOS system management, preferably in a high-paced event or retail environment desired.  
  • Experience sourcing and managing external IT suppliers for internet and technical infrastructure. 
  • Excellent project management skills, with experience managing both internal and external stakeholders. 
  • Ability to manage multiple projects simultaneously and coordinate between different departments. 
  • Proficiency with EPOS hardware and software systems. 
  • Strong communication and problem-solving skills. 
  • Familiarity with Microsoft Office (Excel, PowerPoint, Word) and data analysis tools

 

Business Specific Requirements:

  • Travel required to and from events and venues on an ad-hoc basis  
  • Overnight stays/weekend work will be required on an ad-hoc basis 
  • Travel and accommodation expenses are covered by the business

Business Specific Requirements

Operating Environment & Context

The business is very seasonal. Summer months are incredibly busy, with the busiest periods between May to September, and the month December. Many event sites are outdoor events and festivals on weekends.

Travel & Other Requirements

Travel required to and from events if required during the summer months. It is expected that you will visit certain events to assist the onsite teams, provide in person training and feedback or evaluate performance, system and process.

Overnight stays may be required but in conversation with yourself.
Evening and weekend availability is expected in the summer months during live events to assist where necessary. This can be remote. Overtime is paid.
